Who builds ClientGate
I'm Jagrit Mondal, the founder and independent builder of ClientGate. I build it hands-on, with a practical, product-first approach: find a specific operational problem, understand the workflow around it, and build software that makes that work more structured and easier to manage.
ClientGate is an independent software product. It is not part of a larger group or portfolio, and the official site is clientgate.io.
Why I built it
In a service business, not every enquiry is a good opportunity. Some prospects have budgets that do not match your rates, expectations beyond the scope you offer, timelines that are not realistic, or needs that are simply outside what you do.
Working that out takes time. You ask the same first questions again and again, clarify budgets and deadlines, judge whether the project is viable, and then tell each prospect the outcome. Done entirely by hand, this becomes repetitive and inconsistent: hours go to enquiries that were never a realistic fit, while promising ones can get lost among the rest.
A CRM is good at organising contacts and running a sales pipeline. ClientGate is built for the step before that: helping you evaluate incoming enquiries before you commit time to sales calls and project discussions. The aim is not to talk to fewer people. It is to see clearly which conversations deserve your attention, which need a closer look, and which do not meet your requirements.
What ClientGate does
ClientGate is a configurable qualification workflow that sits before your CRM and sales follow-up. During onboarding you describe your ideal client, and ClientGate sets up a starting configuration you can adjust to fit your business. Incoming enquiries then move through one coherent process:
- Client intake: collect the information you need about a prospect and their project, through a single link.
- Initial checks: compare basics such as budget and timeline with your criteria.
- Weighted scoring: evaluate each enquiry across the qualification dimensions you care about, weighted by how much each matters to you.
- Clear outcomes: sort leads into accepted, needs review or rejected, according to the rules you set.
- AI-assisted analysis: on request, a written read on an enquiry's viability, risks and fit, for you to consider. The decision stays with your rules and with you.
- Automated communication: follow-up emails tied to each outcome, if you switch them on.
- Reviews and tuning: periodic summaries of how your qualification is performing, and help adjusting thresholds based on real outcomes.
- Eli, a browser voice agent, on plans that include it, so prospects can talk through the same qualification instead of filling in a form.
You can keep the defaults or go further and define advanced rules of your own.
Who it is for
Freelancers and digital agencies that receive inbound project enquiries, especially where the owner or a small team handles both client work and new business. ClientGate helps answer, consistently:
- Does this budget fit my pricing?
- Is this work something I offer and do well?
- Is the timeline realistic?
- Do the prospect's expectations match what I can deliver?
- Should this move forward, get a closer look, or be politely declined?
The principles behind it
- Practical automation. Automate the repetitive parts of screening, not for the sake of it, but because they take real time.
- Configurable, not one-size-fits-all. Every business defines a good client differently. Your rules should reflect your services and priorities.
- Clarity over guesswork. You should be able to see why an enquiry meets your bar, falls short, or needs review.
- Your judgment stays in charge. ClientGate supports your decisions; it does not take them away. You set the rules and review the uncertain cases.
- Respect for time. Better first-stage qualification means more of your time goes to suitable opportunities.
- Continuous improvement. Criteria should evolve as you learn, so ClientGate helps you review outcomes and refine.
Where it is going
The long-term goal is to make structured client qualification accessible to freelancers and service businesses of every size: define what a good-fit client looks like, share one intake link, and let a configurable workflow handle much of the first-stage evaluation, so decisions rest on fit, budget, timeline and priorities rather than intuition or long back-and-forth.
ClientGate is not meant to replace your judgment. It is meant to make that judgment easier to apply consistently. As it grows, I intend to keep it grounded in practical usefulness, clarity, and the realities of running a service business.
